ILSM compliance is documented as a complete, chronological record: the initial assessment, daily inspection logs, training and drill records, temporary-system test results, and the termination sign-off. Surveyors read the record the way an auditor reads financials — they’re looking for continuity: no gaps, no contradictions, and evidence that every measure the assessment selected was actually implemented, every day it was supposed to be.

The five document types

  1. ILSM assessment — the project or deficiency description, which protections are degraded, which measures apply (and which don’t, with reasoning), responsible parties, signatures, date.
  2. Daily inspection logs — safety personnel inspect the site every day ILSM is in effect: egress clear, barriers intact, systems operational, housekeeping acceptable, signage posted. Each entry dated and signed.
  3. Training records — who was trained, on what, when — staff, contractors, and fire-equipment users.
  4. Drill records — additional fire drills with documented critiques and corrective actions.
  5. Temporary system test records — monthly inspection and testing of any temporary equivalent systems.
  6. Termination record — restoration verified, date, sign-off.

Sample daily ILSM inspection log structure

Each daily entry should capture, at minimum:

  • Header: date, inspector name/signature, project or deficiency reference, ILSM assessment reference
  • Egress: exit routes clear and unobstructed? Alternate exit signage posted and visible?
  • Barriers: temporary partitions intact, smoketight, no unsealed penetrations?
  • Systems: fire alarm/detection/suppression operational? Temporary equivalent systems functioning?
  • Housekeeping: storage orderly, debris removed, combustible load minimized? Smoking prohibition observed?
  • Access: emergency vehicle/personnel access unobstructed?
  • Findings and actions: any deficiencies found, corrective action taken, follow-up needed

The continuity rule

The record must cover every day from ILSM initiation to termination. A three-day gap in daily logs during a six-week project is a finding — it reads as three days with no verification that anyone was safe. Build the log into someone’s actual daily routine, not as an afterthought task.
